At True Bid Data (TBD), we go beyond takeoffs—we deliver complete CSI division-based quantity takeoff and estimating services with transparency, accuracy, and consistency. Our systemized workflow ensures that general contractors, subcontractors, and estimators receive dependable, timely estimates tailored to their scope of work—every time.
Here’s a breakdown of how True Bid Data works, from document intake to final delivery:
Step 1: Project Document Intake
Every project begins by collecting all relevant project documentation, including:
- Drawings and Plans
- Specifications (Specs)
- Bid Information Documents (ITB packages, scope attachments, etc.)
- Clients send these through email, typically accompanied by the scope of work—either the full project (in the case of GCs) or specific CSI divisions (in the case of subcontractors).
Step 2: Scope Review & Quotation
Our estimator quotation team reviews the scope and documents to:
- Understand trade divisions (e.g., Division 03 Concrete, Division 09 Finishes)
- Calculate hours required for takeoff
- Provide a firm quote and timeline
- Clients are informed of the cost and turnaround time—with clear breakdowns. Once agreed, the project moves forward.
Step 3: Project Assignment in TBDMS
After approval, the project is uploaded into our proprietary True Bid Data Management System (TBDMS).
- All documents and scope are organized in one place.
- Our project managers allocate the job to the most appropriate CSI-trained estimator based on skill, experience, and division-specific knowledge.
Step 4: CSI Division-Based Estimation
Our estimators begin quantity takeoff strictly aligned with CSI Division standards, using the latest RSMeans data, plan measurements, and project specs.
- Full projects are broken down into relevant CSI divisions.
- Division-specific jobs (e.g., electrical, HVAC, drywall) are handled with targeted precision.
Step 5: Internal Quality Control (QC)
Once the estimate is completed, it undergoes a rigorous internal QC process, where:
- Quantities are rechecked
- Markups are validated
- Scope is cross-verified against plans/specs
- Only after all checks are cleared is the project approved for submission.
Step 6: Submission to Client
The final estimate, including marked-up plans, is submitted to our Data Manager, who:
- Uploads the final documents to the TBD system
- Sends the download link via email to the client
- Ensures easy access to PDFs, Excel files, and CAD markups
Step 7: Free Addendum Handling
If an addendum is issued before the bid deadline, we handle it free of charge—no matter how big the job or scope change.
- The addendum is reviewed and routed through the same process
- Updated files are re-submitted to the client promptly
We never charge extra for additional work due to issued addenda—because our job is to help you win the bid, not increase costs.
Step 8: 24-Hour Query Response System
- True Bid Data operates on a strict 24-hour query response rule:
- No client question or revision request is left unanswered beyond a day.
- Our team tracks bid deadlines, ensuring proactive communication and timely updates.
