Preparation of detailed material quantity take-offs and bid support using PlanSwift for tenant improvement works. The scope included loading dock equipment upgrades, signage and wayfinding improvements.
Project Complexity
The project involved tenant improvement works with incomplete and conflicting documentation. Complexity arose due to the absence of clearly defined alternates in the project specifications and inconsistent information across drawing sheets and schedules.
Key Issues Encountered
Alternates were not explicitly identified in the specifications, and drawing sheets lacked clear indications of alternate work. Additionally, contradictions were noted in signage requirements: drawing key notes indicated that certain loading dock equipment was existing to remain and did not require signage, whereas the loading dock matrix schedule specified signage for the same equipment. The extent of some new works was also unclear on the drawings.
Approach
All drawing sheets were thoroughly reviewed to identify potential alternate scopes. Conflicts related to signage were resolved through detailed comparison between key notes and the loading dock matrix schedule, followed by the preparation of clear RFIs. Quantities with no ambiguity were measured and separated accordingly, while quantities affected by contradictions were included in the take-off based on the loading dock matrix schedule, supported by proper RFIs to ensure transparency and completeness.
Outcome
The finalized quantity take-off provided a clear and coordinated basis for bid submission, addressed documentation discrepancies through RFIs, and minimized scope-related risks. This approach ensured accurate representation of the tenant improvement works and supported informed decision-making during the bidding process.
